HR Service Center Administrative Assistant (Job Number: 015167W-01)


DuPont is seeking an Administrative Assistant to support the HR Service Center (HRSC) at our Wilmington location. In this role, you will perform administrative and clerical duties to assist the service center teams with HR process administration. You will be responsible for developing and preparing operational reports from HRSC technology. You will also support center leadership with scheduling/travel/procurement and general day to day operational activities to ensure smooth running of the HRSC. Come join our community of solvers!

This position will be responsible for (but not limited to) the following:

  • Produce and analyze reporting using MS suite of tools and available service center resources.

  • Automate existing data management, documentation processing, and auditing processes using Visual Basic and Python.

  • Assist Ops Leader and Team Leaders with support activities such as scheduling, following up on action items, space planning etc

  • Assist Ops Leader in administering project management tools, including maintaining, updating and assigning tasks from database of weekly/monthly Service Center reporting requirements.

  • Serve as the Administrator for a file sharing system to ensure timely distribution of reports to Payroll and Benefits vendors.

  • Assist Team Leaders in ADP eTime and SFDC case audits, and incorporate findings in weekly evaluations of HRDSC team members.

  • Prepare PowerPoint decks capturing major initiatives and the status of roadmap projects.

  • Provide project management support:

  • Create and plan project process flows.

  • Follow up with HR business partners on project progress.

  • Draft and send regional/global communications.

  • Present findings of projects to leadership.

  • Work with Payroll and Benefits vendors to coordinate reporting/mailings to North American employees. Coordinate and attend vendor meetings and other high impact events to document and support as needed.

  • Support Management in ordering and recording operating expenses for office supplies/miscellaneous items in a timely manner.

  • Meetings support (reserve rooms, compile/generate/copy materials, schedule attendees, create agenda items, coordinate and schedule sessions, room preparation, catering needs, etc)

  • Manage travel arrangements.

  • Assist Team Leaders in researching, creating, and maintaining operations and training documentation for multiple HR software applications.

  • Incorporate new HR and Microsoft Office technologies to streamline project processes and expedite completion

  • Support Payroll Services team in documentation, communication, calculations

In order to be qualified for this role, the following is required:

  • High school diploma or GED

  • At least 3 to 5 years Admin experience preferably in a service center environment.

  • Proficient in Microsoft Office suite with demonstrated PowerPoint experience to produce executive­ level presentations.

  • Advanced skills in Microsoft Excel with experience manipulating data and performing statistical analysis for variety of audiences

  • Project management experience; ability to manage and execute upon initiatives with little to no direction

  • Strong organization skills

  • Attention to detail

  • Strong interpersonal skills;

  • Superior verbal and written communication skills

  • Prior experience in effectively working with a wide variety of internal and external contacts

  • Ability to handle confidential, sensitive informational

  • Adaptable, flexible

  • Ability to prioritize effectively

  • The following skill sets are preferred:

  • Proficiency with Python, Visual Basic, JavaScript.

  • Experience working in a HR service center environment is strongly preferred.

  • HR and payroll knowledge is preferred.

  • Call center experience serving multiple users is strongly preferred.
