The Administrative Coordinator - Records Management Specialist will be responsible for retaining company records and records management services provided to company employees. The selected candidate will lead projects and complete tasks as needed to support records management compliance initiatives and process improvements. The Records Management Specialist will also provide support to employees throughout the company to solve their records management issues, including proper record classification/retention and advice on record organization and storage.
Job responsibilities include, but are not limited to the following:
Records Management & Retention - Manage company records, ensuring the Records Management database is current, accurate, and shows the proper retention classification is applied. Maintain company record retention schedule to fulfill business requirements and comply with local and federal laws.
Off-site Record Storage - Coordinate inactive record storage and retrievals, which includes advice to business clients on off-site transfer and storage processes, record organization, and retention policies. Ensure that adequate supplies of boxes and barcodes are maintained.
Compliance – Comply with Records Management strategies, policies and compliance initiatives. Dispose of records based on record retention schedule requirements, and approvals. Coordinate clean-up campaign efforts across the company to encourage compliance amongst employees.
Thefollowing are required:
High School Diploma orGED
3-5 years ofbusiness/administrative experience
Attention to detail and quality
Ability to lift or pull boxes of paper documents in anoffice storage setting
Ability to keep information confidential
Strong experience with computer and general softwareapplications
Ability to anticipate needs
Problem solving capabilities and ability to makedecisions on daily activities
Ability to work as a team, collaborate and buildsustainable relationships
Written and oral communication skills
The following arepreferred:
Electronic records management software experience
Document sharing systems experience
Document cleanup campaign, record review, and documentdestruction experience
Understanding of recordsmanagement fundamentals and best practices
Customer service experience as well as work with keystakeholders in different departments
Thefollowing are highly preferred:
Records Managementexperience desirable
Certified Records Manager(CRM), Certified Records Analyst (CRA), or Information GovernanceProfessional (IGP) certification
Associates or Bachelor'sDegree
