This position will support a diverse group of individuals; sourcing and sourcing team members. As an Administrative Coordinator on this team, you will use your experience and skills to perform complex administrative duties with minimal supervision.

What do we expect from you?

  • Maintains and prioritizes calendar invitations andmeeting requests for an assigned staff. Assists with arrangements ofcost-effective domestic and international travel for assigned staff byresearching and booking appropriate modes of transportation for businesstrips, tracks travel approval process

  • Attends and participates in departmentalmeetings. May organize, provide input, take minutes anddistribute information.

  • Proofreads for content and typographical errors andsupplies correct spelling, punctuation and grammar as needed.

  • Establishes and maintains files, reports, and otherhard copy or computerized information related to departmentaloperations. Information may be highly confidential.

  • Coordinates and schedules travel and meetingarrangements.

  • Responds to employee inquiries about department orcompany programs, practices and procedures.

  • Codes, verifies and processes expense reports andinvoices for supervisor and other staff.

  • Serves as a key contact for HR processes, which mayinclude position management, new hires, I-9, payroll or time entrycoordination.

  • Procurement Support

  • Requisition to Payment ofResearch field and lab supplies

  • international (80%); domestic(20%)

  • Supplier identification andpricing

  • Requisition conversion

  • Supplier Payment issues

  • International shipping andlogistics experience

  • Collaborate with PioneerLogistics team

  • Understanding of basic internationalexport requirements


What do we need from you?

  • Associate's degree in Business Administration,Communications or equivalent and 3-5 years of relatedadmin/professional experience, OR HS Diploma and at least 5-7 yearsof experience

  • Good interpersonal skills to coordinate across thePioneer organization

  • Meeting planning/coordinating experience

  • Calendaring experience

  • Experience with budgets and expense reports

  • Experience with coordinating travel and travelmanagement systems

  • Ability to manage confidential information

The following are preferred:

  • Knowledge of the Pioneer organization, including itsvision, structure and business operations

  • Procurement transactional experience

  • Excellent computer skills including Outlook, Word,PowerPoint and Excel

  • SAP & Workday experience
